Laboratory Sample Reception unit:  is a unit where samples are received; test results are compiled, test result reports are prepared and delivered to customers.  The unit receives samples from regional laboratories, Quarantines, Abattoirs, intensive & extensive farms and Regional and International reference laboratories for the purpose of surveillance, Outbreak investigation, export and import certification, farm certification/diagnosis, Research, Proficiency test (PT) and Inter-laboratory comparison test.   

Main activities of the sample reception unit are:-

  • Receive samples  that fulfill (fits) sample reception requirement 
  • Register samples on reception log book and give reference number on sample reception form
  • Give lab code on sample container
  • Dispatch  samples to the test labs
  • Temporary store samples until dispatched to test labs
  • Receive and compile test results from test  labs
  • Produce test result report which will be delivered to customers
  • prepares test result attachments for export and farm certifications
  • Provide customer satisfaction review to customers
  • Deliver test result reports with phone , E-mail or in contact based on customers agreement  

The Sample reception unit accepts only samples that fit sample reception requirements. Samples could be considered unacceptable (unfit) for hemolysis, insufficient quantity, improper preservatives used, mislabeled or unlabeled sample, improper sample type versus test purpose, lack of Cold chain system, etc.  Therefore, it is very important to pay attention to the general and specific requirements for sample(s) acceptance.

General requirements for a sample to be accepted at sample reception unit

  • Samples must be properly labeled
  • Samples must be in sufficient volume
  • Samples  should be kept with cold chain system-if necessary
  • Must be the right sample type for the required purposeü  

Specific requirements for a sample to be accepted at sample reception unit

 1. Sample acceptance (fitness) requirements for Bacteriology, Cell culture and Molecular biology

  • Sterile instruments should be used for collecting specimens for  cell and bacterial cultures
  • Samples should be collected aseptically.
  • Special transport media (Bacterial transport media) is needed for some fragile bacteria
  • Sample type: swab, whole blood  & tissues are preferred for detecting  Antigen (virus, bacteria or part of the organism)
  • Transportation media: Special transporting media must be used for viral samples intended for cell culture & PCR tests (eg VTM). 

 2. Sample acceptance (fitness) requirements for serological test 

  • Serum is the appropriate sample
  • Sera samples separated from the blood.
  • Sera samples not less than 0.5ml
  • Non haemolized, fresh sera samples
  • Sera free of clot fragments and clear color
  • Sera submitted in the cryovials tube that is tightly plugged and un-cracked.

3.Sample acceptance (fitness) requirements for histo-pathology test

  • Tissue is the appropriate sample 
  • Choose the tissue to include the junction b/n the healthy and abnormal tissue
  • Tissue specimen should be cut thin and not more than 4mm in diameter
  • Tissue specimen should be fixed with 10% buffer formalin
  • The fixative volume (10% buffer formalin) should be 10 times more than the tissue specimen   
  • Brain must be submitted whole in a wide mouth jar with 10 times its volume of 10% buffered formalin

4. Sample acceptance (fitness) requirements for Helminthology test

  • Collect about 10 gram feces directly from the rectum of the animal
  • Collect fresh uncontaminated feces from the ground only if collecting from the rectum is not accessible/possible
  • Preserve the feces in 10% formalin (1parts of 10% formalin to 9 parts of water)
  • Preserve other parasitological specimens like ticks, fly, flees, lice and Mosquitoes using 10% formalin
